This Privacy Policy explains how Quantum Foods Uganda Limited ("Quantum Foods", "we", "us") collects, uses, stores, shares and protects your personal data when you use our website (quantumfoods.co.ug and gemini.qfu.co.ug), the customer portal, the Quantum Foods customer mobile application (the "App") and our shops. It is written to meet the Data Protection and Privacy Act, 2019 of Uganda and the Data Protection and Privacy Regulations, 2021, as well as the Google Play User Data policy.
By creating an account, placing an order, booking day-old chicks or using the App you agree to the practices described here. If you do not agree, please do not use the services.
1. Who we are
Quantum Foods Uganda Limited is a company incorporated in Uganda that breeds and sells day-old chicks, manufactures poultry feed and sells related farm supplies through its shops. For the purposes of the Data Protection and Privacy Act, 2019, Quantum Foods Uganda Limited is the data controller of the personal data described in this policy. Our registered office is at Buwate, Wakiso District, Uganda.
2. Data we collect
2.1 Data you give us

2.2 Data collected when you pay
When you choose to pay by Stanbic FlexiPay, we pass the mobile money number (MSISDN) you nominate, the amount and a payment reference to Stanbic Bank Uganda Limited so that a payment prompt can be sent to your phone. We receive back the outcome of the payment and a transaction reference. We never see or store your mobile money PIN.
2.3 Data collected automatically
- Technical data: IP address, browser or device type, and the date and time of requests, kept in security and audit logs.
- App diagnostics: the App reports anonymous crash reports and usage events (screen names and actions) together with the App version, Android version and device model. These reports contain no name, phone number, email or account identifier and cannot be linked back to you.
We do not collect precise device location, contacts, photos, biometrics or advertising identifiers.
3. Why we use your data
- To provide the service: create and secure your account, process orders and chick bookings, reserve hatchery capacity, take deposits and payments, prepare stock for collection and issue receipts and statements.
- To communicate with you: SMS, email and in-app notifications about your orders, bookings, deposit deadlines, payments, replies to your support requests and account security. You can switch off non-essential notifications in the App or portal; security codes, payment confirmations, booking deposit deadlines and account-deletion notices are always sent.
- To operate our shops: the shop you select sees your name, phone number and the order or booking so that it can prepare and hand over your goods.
- To meet legal obligations: tax invoicing (including TIN where supplied), accounting and anti-fraud controls.
- To keep the service safe and improve it: detect abuse, investigate incidents, fix App crashes and understand which features are used.
- Marketing (only with your consent): offers and news about Quantum Foods products. You can opt out at any time in your notification preferences.
4. Legal basis
We process your data because it is necessary to perform our contract with you (orders, bookings, payments), to comply with legal obligations (tax and accounting records), for our legitimate interests (security, fraud prevention, service improvement) and, for marketing and optional notifications, on the basis of your consent, which you may withdraw at any time.
5. Who we share data with
We do not sell personal data. We share it only with:

Our systems are hosted on servers we control. Where a provider processes data outside Uganda, we require contractual safeguards consistent with the Data Protection and Privacy Act, 2019.
6. How long we keep data
- Account and profile data: for as long as your account is open, and then deleted or anonymised as described in section 9.
- Orders, bookings, payments, receipts, statements and invoices: five (5) years from the end of the financial year in which the transaction took place, as required by Ugandan tax and company law. After you delete your account these records are kept without your name and contact details.
- Unfinished registrations: an account whose phone and email were never verified is deleted automatically after 24 hours.
- Security logs and sign-in history: up to 12 months.
- Anonymous App crash and usage reports: 90 days.
- Support conversations: for the life of the account and then deleted with it.
7. How we protect data
We use encrypted connections (HTTPS), hashed passwords, one-time verification codes for changes to your phone number or email, signed short-lived sign-in tokens on the App, role-based access for staff, audit logs of changes to customer records and regular security reviews. No system is perfectly secure; please keep your password private and tell us at once if you suspect misuse of your account.
8. Your rights
Under the Data Protection and Privacy Act, 2019 you have the right to:
- Access the personal data we hold about you and receive a copy;
- Correct inaccurate or incomplete data — you can edit your profile in the App or portal at any time;
- Delete your account and personal data (section 9), subject to the retention obligations above;
- Object to or restrict processing based on our legitimate interests;
- Withdraw consent to marketing and optional notifications at any time;
- Data portability — receive your transaction history in a structured format (your statement is available in the App and portal);
- Complain to the Personal Data Protection Office of Uganda (pdpo.go.ug) if you believe we have not handled your data lawfully.
To exercise these rights, use the App or portal where a self-service option exists, or contact us using the details in section 14. We respond within thirty (30) days and may ask you to verify your identity first.
9. Deleting your account
You can ask us to delete your account at any time:
- in the App: Profile → Delete my account;
- on the web: quantumfoods.co.ug/account/delete after signing in;
- or by writing to us (section 14).
A request can only be accepted when you have no open chick booking and no order with an unpaid balance. Once accepted, your account is locked immediately and permanently deleted after a 7-day cooling-off period, during which you can sign in and choose "Keep my account" to cancel. On deletion we erase your name, phone number, email, TIN, address, profile picture, notifications, preferences, support conversations and sign-in tokens. Your orders, bookings and payment records are retained for the statutory five-year period in anonymised form (they no longer identify you).
10. The mobile App
The Quantum Foods customer App for Android uses the same account and data as the portal. It requests the Internet permission only. It stores your sign-in token in the device's encrypted storage and never stores your password. Anonymous crash and usage reports (section 2.3) are sent to our own servers, not to third-party analytics networks, and the App contains no advertising. You may uninstall the App at any time; doing so removes local data but does not delete your account — use section 9 for that.
11. Cookies
Our website and portal use a strictly necessary session cookie to keep you signed in and to protect forms against forgery, and a cookie for your shopping cart. We do not use advertising or third-party tracking cookies. Blocking the session cookie will prevent you from signing in.
12. Children
Our services are intended for farmers and businesses and are not directed at children under 18. We do not knowingly collect data from children; if you believe a child has created an account, contact us and we will delete it.
13. Changes to this policy
We may update this policy from time to time. Material changes will be announced in the App, the portal or by email before they take effect, and the "last updated" date at the top of this page will change. Continued use of the services after that date means you accept the updated policy.
